How to Offer Gift Certificates in Your Shop

November 9, 2010 update: Please let your gift certificate recipient know that they should choose “other” as their payment method during checkout. Please change your Etsy settings to allow “other” as a checkout option if it is not already enabled. This is necessary for the new checkout, which we are in the process of releasing. The new checkout requires that buyers who choose PayPal as their payment method must pay at PayPal before the item is removed from your shop. Since they are using a gift certificate, they will need to choose “other” to have a record of their purchase on Etsy.

As we quickly approach shipping cut-offs to deliver gift purchases in time for the holidays, some last-minute shoppers may appreciate the convenience of a gift certificate from your Etsy shop. We have some guidelines and tips for sellers who wish to offer gift certificates.

First and foremost, you must research and abide by any applicable local laws governing gift certificates.* This is clearly stated in the DOs & DON’Ts of Etsy, as detailed below:

  • Gift certificates are governed by local laws; it is the seller’s responsibility to determine if they are in compliance. If you list a gift certificate on Etsy, you are responsible for this compliance.
  • You must include this sentence in the item listing: “This Gift Certificate is valid only in my Etsy shop, and it is only redeemable here.”

If you are a seller in the USA, you may be interested in The Consumer’s Union for a brief overview gift certificate laws. (This website and this article are for informative purposes only, and should not be considered legal advice.) Please refer to the laws of your state and/or country for more accurate, detailed and up-to-date information. You may wish to consult an attorney for specific questions.

When you list your gift certificate on Etsy, be sure you follow all of Etsy’s rules for item listings. Here are some specific things to keep in mind:

  • Your listing must be for a set price; this should be the full value of the gift certificate.
  • Your listing must be an actual, tangible item for purchase. This could be a traditional, formal paper certificate, notecard, Moo card or something the recipient might want to hang onto a little longer, like a sticker, coaster, patch or badge. A digital file, like a .pdf, may also be acceptable.
  • Your listing description should be accurate and detailed. Provide all the details and terms for using the gift certificate so shoppers know exactly what they are purchasing (see below).
  • Be clear in your description that this gift certificate is only redeemable in the Etsy shop from which is it purchased.

Be sure to include pertinent information on your physical gift certificate and in your item listing, even if it seems obvious to you:

  • the name of your shop
  • your shop’s unique web address on Etsy (for example: username.etsy.com)
  • the words “gift certificate”
  • the value of the gift certificate
  • a unique secret code, which the redeemer of the gift certificate will be instructed to type into the Message to Seller section when checking out (do not include this in your item listing!)
  • clear instructions on how to redeem the gift certificate (for example: “Go to my Etsy shop, and select the items you would like to buy with this fine gift certificate. Click the green Checkout button. In the Message to Seller section, please type in the code. I will send you a Convo to confirm your order. Thanks!”)

Be organized and keep track of the code of every gift certificate that is purchased and redeemed in your shop. When the gift certificate is redeemed, you may need to send a revised PayPal invoice to the buyer if there is a remaining balance that needs to be paid on the sale.

A final point of consideration for Etsy sellers who offer gift certificates is the associated Etsy fees. Two separate transactions occur with Etsy shop gift certificates: one when the gift certificate is purchased by the gift-giver, and one when the gift certificate is redeemed by the recipient. Applicable listing and transaction fees will be reflected on your Etsy bill for both of these transactions.

    ok...perhaps a stupid question, but when a buyer redeems this coupon... Let's say they come to my store, find something that costs $30 and the coupon is for $15. They enter a code in the "Message to Seller" box but this $15 is not automatically deducted, right? I would assume if they were paying immediately with Paypal, they would pay the $30 and then I would refund $15? Just trying to figure out the electronics of it before I can put it up. Thanks!

    I'd imagine you'd have to have something written telling them that in using a gift certificate, they would need to wait for a revised invoice and not check out through paypal immediately. Then they would put the code in the notes to seller, and you can send them a corrected invoice deducting the amount of the gift certificate and have them complete the transaction through paypal directly.

    I think when creating the code, it should somehow relate to the person who bought the gift certificate, since counterfeiters would have no way of knowing that. You choose the length of time it's good for (most, incuding mine) are good for 12 months...some for 6 months. It then behooves the recipient to redeem it within that time frame ;)

    How about adding Gift Certificate to payment methods, then there would be a field to fill in the number or code that we assigned for that recipient. No refunds or finagelling necessary. As long as you keep track of who has what amounts left, its very unlikely that it could be fudged.

    It's too bad there isn't away to avoid being charged double fees though. (Etsy will take a cut of the sale of the actual gift certificate, then take a cut again of the items you sell with the gift certificate, even though you're not making any more money.)

    In Illinois, by law, if you sell a gift certificate it is valid forever, until redeemed. You may desire to put a limit on it, but it isn't legal. There are other states with similar laws, that's why it is important to follow etsy's advice and check your state law.

    How about etsy charges a flat transaction fee of >(you think .50 is about right? or would that still be too high)< on the certificate purchase... then gets their usual cut on the item, when bought. Trying to think this through...say my customer purchases my $30.00 gift certificate...etsy gets their first fee of $0.50 Then customer redeems whole certificate and etsy gets the usual 3.5% on that. AND etsy has also made .20 when the certificate was listed by me.. ETSY ADMIN, does this make sense?

    Gift Certificates are a great idea, especially for those faced with unachieveable shipping deadlines but still want to purchase from their favorite shop. I have included a customised gift certificate for this reason, with two options, a dollar amount and also a product certificate for those who want to actually purchase the product but know it won't arrive on time ~ this way they will still have something to give on Christmas!

    Thank you so much!! I think a gift certificate is a must do for my shop!! I intend to put "redemption id number _________" on each certificate for and ID number that I will add at the time of sale. I am going to add a page to my seller's worksheet for gift certificates only so that I can easily track issue, redemption, and outstanding gift certificates. It will be easier for me and I will be able to send reminders if a gift certificate is getting close to expiring AND perhaps be able to cancel and reissue if a gift certificate is lost.

    I think the concept of two transactions fees for one purchase is unfair on Etsy's part. Technically, the etsy buyer is only buying one item: the gift card. They are just redeeming it at a later time, so there is no reason to charge the seller twice.

    I had no idea there are laws governing gift certificates. Thanks for letting me know. I think the gift certificates will be a really good eniticment for buyers to shop after the Christmas holidays. For example, when buyers shop during the Thanksgiving/Christmas rush, I could offer (where/when applicable by law)gift certificates to be redeemed from after Christmas Day through New Years Day/January.

    This was very helpful. The article helped me decide that I will NOT be adding gift certificates. It is the double transaction fee that gets me. That's a pretty hefty tax for this feature. I also don't want to change my payment options to include "other" which is an unintended consequence of the new checkout system. At least the article made it very clear to me why this is a losing proposition for sellers.
