Etsy's Handmade Blog
Etsy Seller Inventory Worksheet

This is the first in a series of downloadable business tools for our community.  We really want you to be successful in the new year, so I hope you can use these spreadsheet to keep your shop organized!  This will help you to track your inventory, shipping and profits, making your life at tax season a breeze.  This spreadsheet will help you figure out your monthly profits, track orders, look over top selling items and keep on top of your shipping.

Tips on how to use the spreadsheet are also included, but if you have any questions, feel free to send me (or Etsy business admin Beth, aka bethela) a convo and we can try to help you out.

Below is a screenshot of the Excel file.  Click on it to download the file to your desktop.

Oh, if you don't have Excel don't fret — this worksheet is compatible with the free program, Open Office. Google docs This is also a good option for those of you who are into the idea of working online.

No one spreadsheet is going to work for everyone.  And it would be great to gather more options here for Etsians.

There are also a few really helpful spreadsheets made by Etsy sellers for sale on Etsy.  Check out Serena, LLDesign and JJMFinance to start.

Coincidentally, Etsian chrisparry recently filled out the Storque pitch form and offered to share one of his spreadsheets.    It helps you calculate your prices. Thanks, Chris! Any other spreadsheet savvy Etsians want to share your tools? Comment below!

For more info on pricing, see bethela's Art of Pricing series on the Storque.

I like the spreadsheet. Thank you for posting it. It would be great if there was a spot to notate sales tax collected. It seems like some of the months' sheets are on one page and some spread out to two pages. If it was all on one page, it would be perfect!

Jan. 3, 2008 at 1:57 p.m. lookability

Thanks for these... I need to learn how to keep track better.

Jan. 3, 2008 at 2:02 p.m. loosewirestudio

These are great spreadsheets. What would even be *more* awesome, is if the downloadable data that we pick up with our billing data had more field options.

I would *love* to have the choice to choose which field I want to download. No more manual entry. Then i could build an Excel spreadsheet around this data and not have to enter anything manually.

Please?

wonderful!

Jan. 3, 2008 at 2:22 p.m. lushbella

oh my goodness. these are incredibly great. i cannot even begin to imagine how long it would take me to create this.

Jan. 3, 2008 at 2:38 p.m. buzzbuzzbee

this IS great!

thanks!

Jan. 3, 2008 at 2:45 p.m. happywhosits

Yes, this looks quite similar to something we've been doing, only I think I like this format better! And as loosewire mentioned, being able to import our etsy bill info right in here would be awesome! Thanks for making life more organized for us!

Terrific - thank you!

Jan. 3, 2008 at 4:14 p.m. pulpsushi

I LIVE for spreadsheets so I'm very excited! Thank you!!

Jan. 3, 2008 at 5:22 p.m. AliciaMae

It doesn't seem to take shipping into account...or did i overlook something?

Jan. 3, 2008 at 5:40 p.m. coloradoartstudio

Another great tool - Thank you!

Jan. 3, 2008 at 7:55 p.m. HomeMadeOriginals

This is very similar to what I have been using. I do like the way it is formated. I would LOVE to be able to download info. from my Etsy bill. I like to track everything I have, not just items that have sold, so I'd want to have a sold date and then have the "profit" only calculate if the sold date is entered. I also like to track sales tax as well as shipping charges and shipping fees that way I can make sure I am breaking even on shipping.

Jan. 3, 2008 at 7:56 p.m. HomeMadeOriginals

duh, I see the sold date column now, sorry I missed that.

Jan. 4, 2008 at 4:40 a.m. panyizsuzsi

Thanks a lot for sharing! Great idea.

Jan. 4, 2008 at 5:14 a.m. Sallyent

Flippin' nora this looks fantastic at first glance - how blummin' useful and considerate of you guys!

Maybe if there are things not in that people want they could just this as the basis and then add in their own coluomns? It really isn't difficult to pick up how to use spreadhseets - an hour or so messing around with them is often enough - that and the 'help' menu of course!

Nice one etsians.

Jan. 4, 2008 at 5:17 a.m. oddsnblobs

love it love it love it!!! it is fanstastic! thank you sooo much!!

Jan. 4, 2008 at 1:40 p.m. terryann

I don't have a spreadsheet .... but I use a listing - tracking form I designed so that I could keep track of all the particulars of each listing... I love to be organized!

Jan. 4, 2008 at 2:48 p.m. theRocketWorkshop

It is amazing to me that there is still no download of data.

Manual entry is terrible Etsy. Seriously.

Jan. 4, 2008 at 6:10 p.m. knitstyle

This spreadsheet is awesome! Thanks you!

Jan. 5, 2008 at 4:49 a.m. Sallyent

By the way I also stumbled across a seller who offers all sorts of useful similar packages (spreadsheets, marketing plans, profit & loss number crunches etc), no idea about him or how good the products are but it looks like a v useful shop for more stuff like this - http://JJMFinance.etsy.com

ahem - and apologies for the awful typo explosion in my earlier post! *note to self - proofread!*

Jan. 6, 2008 at 9:42 a.m. raisinlike

This spreadsheet is a great tool, I already started using it. Thank you!

Jan. 6, 2008 at 9:46 a.m. lavajewelry

I have a free spreadsheet available for download on my blog. It calculates Etsy and PayPal fees.

http://cheldodge.net/blog

It's listed in the right column under "Downloads."

There is also a second version available for download from my blog, which was created by http://HomeMadeOriginals.etsy.com

Anyone who downloads it is welcome to create a new version of it.

Jan. 6, 2008 at 9:52 a.m. prisma

How awesome!

I was thinking a while back if I should start a spreadsheet. It's a good thing I took that Programming class a couple years back! :D

Thanks!

Jan. 6, 2008 at 12:21 p.m. Needlings

thank you so much for this!!!

Jan. 6, 2008 at 12:42 p.m. circularaccessories

This is nice for lower volume or sellers not familiar with excel, but I was hoping there would be a tool more helpful in the way of automatically importing the data. I am already maually entering all of this data into my own spread sheet and really need a better system that doesn't take up so much of my time. I know this is a start so here's to even more improvements in the New Year.

Jan. 6, 2008 at 1:12 p.m. timelady

Excellent tool! I use something similar but also include an estimate of income tax, so that I can then put that aside into a separate account. It's not exact but since we self-employed folk have to remember to put tax away through the year it's a guideline for me. :) This could easily be added in the box after profit by calculating 30% of the profit for example (that's a UK average, including class 4 NI contributions). It doesn't consider your other expense receipts and overheads though.

Jan. 6, 2008 at 2:07 p.m. glasstastictreasures

These are very helpful. Someone might want to go in and edit the "tips" Tab, specifially the "Paypal Fees" item. Although I did get a good laugh. lol.

Jan. 6, 2008 at 2:07 p.m. juln

Cool, but I'm too lazy to write the data in myself!

Strangely, I'm not too lazy to write a program to automatically download it for me, though.

Jan. 6, 2008 at 4:10 p.m. RaeGun

This looks like a great start. I agree it would be neat if we could download bill stuff into this format.

I think it is misleading though to call the price paid minus fees and material cost profit though. This totally fails to consider the labor put into making the item/wage, equipment cost/maintanence, electicity, advertising, relisting (this really is realistic), you get the idea.

Great start though.

Jan. 6, 2008 at 6:48 p.m. melaniesOriginals

I guess we would have to add a "quanity" column.

it's a cool file though

Jan. 13, 2008 at 3:16 p.m. HomeMadeOriginals

Can someone help me understand how you use the months tabs, ie if you list something in January and sell it in March, which sheet does it go on or how do you use them? I'm working on a version of this spreadsheet that calculates my paypal fees, allows me to enter shipping fees and postage and sales tax if anyone is interested.

Jan. 17, 2008 at 9:26 p.m. serena

Hey, thanks for linking to my spreadsheet!

Jan. 18, 2008 at 11:48 a.m. brennx0r

Etsy, please consider making an Export Data feature that covers the download of all sale data and billing data. This spreadsheet has its uses, but this should not be the "end all" tool that Etsy gives us for cataloging, tax preparation, etc.

Feb. 13, 2008 at 5:51 p.m. Noelia

Thanks so much for sharing this spreadsheet! I'm starting and it's going to be very helpful, pretty soon I'll have my designs.

To HomeMadeOriginals: if you list something in January and sell it in March, I'd list it in January. This way, checking the January sheet you'll see how fast a piece solds or if it takes long time to see it.

Feb. 18, 2008 at 8:28 a.m. missbubbles

This article and idea of a spreadsheet was very useful. I have created my own and it is work in progress and I am getting closer to perfection!

March 1, 2008 at 12:24 a.m. SalmonStreetStudio

Thanks!
But what loose and circ said! It should all be downloadable, (even if there were a small fee or subscription required for this service) it'd be worth it in time saved.

March 18, 2008 at 12:25 p.m. theknitowl

That's awesome! That's going to save me a lot of time!

April 5, 2008 at 9:33 p.m. JJMFinance

Thanks for the link to my spreadsheets as well!

For everyone that has asked about downloadable sales data, Etsy now provides this as a .csv file in your sold orders portion of "Your Etsy".
This is great and will save time with less data entry.

June 21, 2008 at 11:24 p.m. Kiiss

Thanks for sharing. I have a similar spreadsheet like this. :D

July 2, 2008 at 5:39 p.m. hamptonarts

July 15, 2008 at 10:38 a.m. jadewicks

I had made something like this for myself, but yours seems more simpler, yet it has some important fill-ins that I did not have. Thanks for this! Looking forward to more in the series. :)

Jan. 22, 2009 at 6:16 p.m. wheelerstudio

Quick question: If I have 5 of the same item (like for my greeting cards), do I list each one as a separate item on the inventory sheet? Or should I figure out a way to enter an amount?
Thanks all!

Jan. 25, 2009 at 5:56 p.m. SCJJewelryDesign

Thanks for this. I was able to add shipping info columns for my use. It would be great, as others have said to have a way to download data form Etsy directly into a spreadsheet, though. For now, manual is do-able for me.
Thanks!

Jan. 26, 2009 at 5:37 p.m. LittleLilies

Great information. Love the worksheet.

Jan. 30, 2009 at 1:14 p.m. m38967

How does one open this up in Google Docs? Sorry for the pedestrian question, but not sure how to do it.

Missy.

Jan. 31, 2009 at 1:04 p.m. smag

Hey m38967,

To open any spreadsheet in Google Docs, just download the spreadsheet to your desktop, then got to docs.google.com and login (it's all free). Then click on "Upload" and select the file on your desktop. This works for spreadsheets (most common formats) and MS Word files, etc.

Feb. 18, 2009 at 12:48 p.m. october102006

Wow, this is awesome! I already use a spreadsheet for my sales but this is cool that it calculates the fees and such for me. This keeps track of items BEFORE I sell them, rather than when they sell like my other one does.

Thanks so much for sharing!

Feb. 25, 2009 at 1:42 p.m. LindaJayDesigns

As a new seller on Etsy, I really appreciate this helpful tool. Many thanks!

Thank you so much, this is so great, saved me so much time having to figure out how to make one of these spread sheets myself. Now I can sew. I am so excited to have been directed to this site, there is so many awsome artisans on this site, I have so much fun just seeing what other people make, even the ones who do the same as me. I just love it. again thank you so much.

Wonderful! I'm only 17 years old and I don't know much about counts and all that stuff, so, sometimes I get all messed up with the pricings, and all that stuff...

My grandmother is an accountant, and she told me about these sheets, but just with the price of the product, the total price of the materials and the fees..

Now that I see this sheets my eyes had just brighten up!
haha.. Thank you!! ♥
