This Privacy Policy explains how xgreycustom collects, uses, stores, and protects personal information when you purchase an item from my Etsy shop, contact me through Etsy, or provide information for a personalized digital product.
This policy applies only to my shop practices. It does not apply to Etsy’s own collection and processing of personal information. Etsy has its own Privacy Policy.
1. Information I Collect
To fulfill your order, Etsy may provide me with certain information such as your name, Etsy username, email address, order details, and messages related to your purchase.
For personalized digital products, you may also choose to provide additional information, including but not limited to:
- Pet or animal name
- Pet photo or image
- Owner name
- Contact details you want displayed in the digital product, such as phone number, email address, or location link
- Business, clinic, farm, or brand details
- Logo, images, screenshots, or setup preferences
- Information needed to create a custom QR code, digital profile, dashboard, template, or setup file
I do not receive or store your full payment card information. Payments are processed by Etsy or Etsy’s payment providers.
2. Why I Use Your Information
I use your personal information only when necessary to:
- Fulfill and deliver your order
- Personalize your digital product
- Create custom QR codes, files, templates, dashboards, or setup materials
- Communicate with you about your order
- Provide customer support
- Resolve order issues, corrections, or revisions
- Keep business, tax, and legal records
- Protect my shop from fraud, misuse, or unauthorized activity
I do not use buyer information for unsolicited marketing messages. I will not add you to any email list or send promotional messages unless you have clearly given permission.

If you are located in the European Union, United Kingdom, or another region with similar data protection laws, I rely on the following legal bases:
- Contract: to fulfill your order and provide the purchased digital product
- Consent: when you voluntarily provide customization details, images, or contact information

I only share personal information when necessary to provide my services or comply with legal requirements.

- Etsy, as the marketplace where the transaction takes place
- Technical service providers used to create, host, deliver, or support digital products, if required for your order
- File storage, hosting, or platform providers such as Google/Firebase, GitHub, Vercel, cloud storage, email, or similar services, when needed for custom setup or delivery
- Legal, tax, or professional advisors, if required
- Authorities or legal bodies, if required by law
I do not sell your personal information.
5. Digital Products, QR Codes, and Hosted Links
Some products may include QR codes, digital profiles, dashboards, hosted pages, or setup files.
If your order includes a hosted or ready-to-use version, the information you provide may be used to create the public or private pages included in your product.
You are responsible for deciding what information you want displayed publicly in a QR-linked page or digital profile. Please do not provide sensitive information unless you want it included in your product.
For self-hosted products, you may choose to set up your own version using your own accounts, such as Firebase, GitHub, or Vercel. In that case, you are responsible for the data you upload, store, publish, or manage in your own system.
6. Data Retention
I keep personal information only for as long as necessary to fulfill your order, provide support, comply with legal obligations, and maintain business records.
Custom production files, images, QR code data, and personalization details may be retained for a limited period in case you need support, corrections, or re-delivery.
You may contact me through Etsy Messages to request deletion of custom files or personal details that I personally hold, unless I am required to keep certain records for legal, tax, accounting, dispute, or fraud-prevention reasons.
7. Your Rights
Depending on your location, you may have the right to:
- Access the personal information I hold about you
- Request correction of inaccurate information
- Request deletion of personal information
- Object to or restrict certain uses of your information
- Withdraw consent where processing is based on consent

When I use third-party services to create, host, deliver, or support digital products, those services may process information in other countries. I use such services only when necessary for order fulfillment, support, legal compliance, or product delivery.

I take reasonable steps to protect buyer information and custom order details. However, no online service, cloud platform, email system, or digital delivery method can be guaranteed to be 100% secure.
Please avoid sending unnecessary sensitive personal information through Etsy Messages or customization forms.
