This is a personal record-keeping and planning tool. It is not legal, tax, accounting
or financial advice, and it does not tell you what the law requires of you.

Short-let rules — registration, licensing, night caps, safety certificates and tax
treatment — differ by city and by country, and they change. There are no rules printed
anywhere in this workbook. You enter your own night cap and your own renewal periods
on the Setup tab, and the workbook counts from there. Check your obligations with your
local authority or a qualified adviser, and always confirm figures against your own
payout statements.

WHAT MAKES IT DIFFERENT

▸ Occupancy, ADR and RevPAR — all three
Most trackers show income. These three show why. A high nightly rate with low
occupancy usually earns less than a lower rate that fills the calendar, and revenue
per available night is the number that settles the argument. Calculated per listing
and for the whole portfolio.

▸ A turnover clash detector
Every changeover is listed automatically from your bookings. Same-day turnovers are
flagged, hours available are worked out from your standard check-out and check-in
times, and anything under your own tight threshold is marked — before your cleaner
finds out the hard way.

▸ What each booking channel actually pays you
Every booking carries its own fee percentage. The By Source tab shows bookings,
nights, gross, fees paid and real payout per channel — so you can see exactly what
a direct booking is worth compared with one that came through a listing site.

▸ Night cap tracking
Some cities cap how many nights a year you may let. If yours does, enter it once and
the workbook shows nights used, nights remaining and percentage of cap per listing.
If yours does not, leave it blank and the column stays empty.

▸ Fixed costs kept separate from per-booking costs
Cleaning scales with how busy you are. Insurance does not. Mixing them hides your
real margin, so this workbook keeps them apart and shows profit per booking and
profit per night.

▸ Works with any booking channel
No site is named or assumed. The source list is yours to edit — name the channels
you actually use, add direct bookings, add repeat guests, remove the rest.

▸ Works in Excel 2007 and newer
No Microsoft 365 subscription needed. Google Sheets carries every formula, dropdown
and chart across.

HOW TO SET IT UP

1. Open the DEMO file first to see the system working
2. Fill in the Setup tab — your night cap if you have one, your standard check-out and
check-in times, and your tight-turnover threshold
3. Add each listing: cash invested, fixed costs per month, target rate, cleaning fee
4. Rename the booking sources to the channels you actually use
5. Enter bookings as they come in — rate, dates, source, and the fee you were charged
6. Log expenses, marking each one fixed or per-booking
7. Read the dashboard once a week

To use in Google Sheets: upload to Google Drive, right-click, Open with Google Sheets.
