I am happy to accept paypal and if you are a fellow seller, may even consider a trade!
I also accept credit card payments via Etsy Payments or gift card. If you plan to purchase an item but would like it altered in some way, please can you convo me first to check it is possible before you checkout. I would appreciate that all accounts are settled within 2 days of purchase. I am unable to start working on your item until payment is received.
I understand that sometimes you may change your mind about a purchase, for this reason I am more then happy for you to cancel an order for none personalized items before dispatch.
For personalized items, there will be a charge if work has already been started.

I aim to make and dispatch within 3-5 working days for general items. Personalized items take slightly longer and will be dispatched with 1-2 working weeks. If you require an item urgently, please contact me before purchase.
International items are sent by standard airmail - Royal Mail states that they will be delivered within 20 working days, however busy periods may lengthen this.
Items within the UK are posted by second class (unless you have upgraded your postage at checkout) and should arrive within 1-3 working days of dispatch.

Please note that I am not responsible for import duties/taxes. Please check with your local laws to see if this applies to you before purchasing.

If you have something else in mind, we are more then happy to accept custom orders. Please convo me with your requirements and I can happily assemble some designs for you.
Please be aware that custom orders may be photographed and listed in the shop as an example of what we can offer.

What data is processed? – Names, addresses, emails, payments, personal data such as dates and names for customised orders.

* Customised design using personal data such as dates and names, it is your responsibility to ensure that you have permission to share this information with Chibi Chi Designs, which will be stored securely and will only be use for the customer’s order.

Chibi Chi Designs uses social media accounts, to allow people who find us to send us messages to find out more about us, to place orders and all information is collected through the message boxes on these sites.
Photos of finished orders will be shared with consent only, unless they are generic and contain no personal information.

Lawful / legal basis for recording the data – To process orders made by customers, or to share information the cutomers request.

Payment Processing

Any payments that are made for orders, are processed by a third parties sites ie Etsy or Paypal.

Third Party Websites:(Etsy, Paypal, Facebook etc) These sites are governed by their own privacy statements, and Chibi Chi Designs are not responsible for their operations, including but not limited to their information practices. Users submitting information to or through these third-party websites should review the privacy statements of these sites before providing them with personally identifiable information.

All data used as part of Chibi Chi Designs is viewed and processed either using my laptop which has a password system to be accessed. Or my mobile phone which is double lock passkey protected. All my passwords are regularly changed and updated to and I am covered by ICO.

Cloud Storage

Cloud storage is used by myself to ensure back ups of all order designs and photographs of finished items. Sensitive customer information such as emails and addresses are not saved, however first and last names are used to match up orders to designs. The cloud storage that is used cannot be accessed without a password (regularly changed in accordance with ICO best practice) and is protected by strict third party security measures (Dropbox, Google photos etc)

Disclosure

Any data required or held by me is secure and held only by myself, and it will not be distributed to any third parties unless I have your permission or is required for for lawful / legal basis; for example, I am required to share my accounts with HMRC if they request it (please read retention of data).

You may request details of personal information which I hold about you and you may ask for them to be deleted, unless required for lawful / legal basis.

Retention of Data

I do not retain customers information any longer then required, but I will retain the following information for accounts / HMRC

What data is processed? – Documentation required for preparing accounts for HMRC.
Data refers to – invoices, receipts, payments from customers.
Lawful / legal basis for recording the data – the legal basis for processing this data is ‘legal obligation’ because it is required by HMRC.
Data sharing – the document may be shared on request with HMRC.
Data storage – the documents will be stored securely in paper / online format.
Data retention – HMRC state: ‘I must keep records for at least 5 years after the 31 January submission deadline of the relevant tax year. HM Revenue and Customs (HMRC) may check my records to make sure you're paying the right amount of tax.
Data destruction – after the required length of time, the documents will be shredded / securely deleted.

All other data collected if not needed for lawful / legal basis is deleted ASAP after obtaining it if no longer required.

Data Breaches

I will be obligated to notify the ICO of a data breach within 72 hours of becoming aware of the breach. We understand the huge fines in place for failing to follow correct procedures for a breach in data.
