Who's on vacation when – and is there enough staff? This Excel vacation planner shows you at a glance: simply enter the dates, and the template does the rest. It includes public holidays for all 16 German states, and no macros are required.

Designed for team leaders, small companies, practices, offices and associations with up to 25 people.

SYSTEM REQUIREMENTS
Excel file (.xlsx) without macros – no security warning, no need to enable anything. You need Microsoft Excel 2016 or later, or Microsoft 365 (Windows or Mac). Also tested with LibreOffice Calc. Not intended for use with Google Sheets, Apple Numbers, or Excel on a mobile phone.

IT'S THAT EASY
- Select year and federal state – holidays are added automatically
- Enter team details: Name, working days, vacation entitlement, remaining vacation days from the previous year
- One line per absence: Name, from, to, type – done

WHAT'S INSIDE
- Monthly view: the whole team on one page, print-ready in landscape format
- Number of absentees per day – the day turns red once you reach your limit
- Annual overview for the team or an individual
- Remaining vacation days automatically: Entitlement, previous year, taken, planned, remaining
- Full and half days, part-time (e.g. only Mon–Wed)
Weekends, public holidays and your days off don't count towards your vacation time.

HOLIDAYS
All public holidays in the 16 German states, calculated for each year using a formula (Easter, Pentecost, Repentance and Prayer Day, etc.). You can add regional holidays yourself – Assumption Day in parts of Bavaria, Corpus Christi in parts of Saxony and Thuringia, Augsburg Peace Festival. You can also easily enter your own days off (e.g., company closures).

GOOD TO KNOW
Intentionally omitting the "sick" category – health data does not belong in a team list. This template calculates and displays vacation entitlements; the amount of vacation time someone is entitled to and when remaining vacation days expire are governed by law, collective bargaining agreements, and employment contracts. Public holidays are listed to the best of our knowledge (as of October 2026), this is not legal advice.
