PRIVACY POLICY — DRAWING WITH DATA

Drawing with Data is operated by Chris Woods, trading as a sole trader based in the United Kingdom. I am the data controller for the personal information I process in connection with orders placed through our Etsy shop.

This policy explains what personal information we receive, why we use it, who we share it with, and what rights you have. It applies to data we process as sellers. Etsy, as the marketplace operator, processes additional data about your account and browsing activity in accordance with their own Privacy Policy.


WHAT PERSONAL INFORMATION WE RECEIVE

When you place an order with us through Etsy, we receive the following information from Etsy in order to fulfil your order:

- Your name
- Your delivery address
- Your email address (via Etsy messaging)
- Your order details (items purchased, size, paper type)

We do not receive your payment card details. All payments are processed by Etsy.


HOW WE USE YOUR INFORMATION

We use your personal information only for the following purposes:

- To fulfil your order — we pass your name, delivery address, and order details to our print and fulfilment partner, dStudio, Little Clacton, who prints and ships your order directly to you.
- To communicate with you about your order — for example, to confirm dispatch, provide tracking information, or respond to queries.
- To comply with our legal obligations — including financial record-keeping as required by HMRC.

We do not use your personal information for marketing purposes without your explicit consent. We do not sell or share your data with any third party other than dStudio for the purpose of fulfilling your order.


LAWFUL BASIS FOR PROCESSING

We process your personal information on the following lawful bases under UK GDPR:

- Contractual necessity — processing your name, address, and order details is necessary to perform the contract with you (i.e. to fulfil and deliver your order).
- Legal obligation — we retain financial records as required by UK law (HMRC requires retention for a minimum of 6 years).


DATA SHARING

We share your delivery address and order details with dStudio solely for the purpose of printing and shipping your order. dStudio acts as a data processor on our behalf and is not permitted to use your data for any other purpose.

We do not share your data with any other third parties, except where required by law.


DATA RETENTION

We retain order records for 6 years from the date of the transaction, as required by HMRC for tax and accounting purposes. After this period, records are securely deleted.


INTERNATIONAL TRANSFERS

Your order is fulfilled and shipped from the United Kingdom by dStudio. If you are based in the European Economic Area, your delivery address will be processed in the UK. The UK has been recognised by the European Commission as providing adequate protection for personal data.


YOUR RIGHTS

Under UK GDPR (and, where applicable, EU GDPR), you have the following rights in relation to the personal information we hold about you:

- Right of access — you may request a copy of the personal information we hold about you.
- Right to rectification — you may ask us to correct inaccurate information.
- Right to erasure — you may ask us to delete your personal information, subject to our legal obligation to retain financial records.
- Right to restriction — you may ask us to restrict how we process your information in certain circumstances.
- Right to object — you may object to our processing of your personal information where we rely on legitimate interests.
- Right to portability — you may request a copy of your data in a portable format.

If you are not satisfied with how we handle your request, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk, or with your local data protection authority if you are based in the EU.


CHANGES TO THIS POLICY

We may update this policy from time to time. The current version will always be available in our Etsy shop policies, with the date of the most recent update shown above.
