EMPLOYEE PTO, ATTENDANCE & ABSENCE POINT TRACKER
A complete HR record for a small team — PTO accrual and balances, time-off requests, and an attendance point system that expires old points on a rolling window automatically. One spreadsheet instead of an HRIS subscription.

🎁 FREE BONUS INCLUDED — Attendance-Points + PTO Balance Auto-Calc (a $19 value): keeps every balance right so there are no disputes. Yours free with this template.

Most attendance templates are a table you type points into. The hard part of a real attendance policy isn't adding points up — it's rolling them off. Points are supposed to expire twelve months after the incident, and getting that wrong is exactly what lands employers in trouble. This sheet does it for you: every point drops to zero on its own the day it ages out of your window, and it warns you before an employee crosses a disciplinary threshold.

Add your people once, set your point values and thresholds to match your own policy, and the workbook handles the rest — prorated PTO accrual, running leave balances, an absence heatmap, an estimated cost of lost hours, and a printable one-page record for reviews.

✅ WHAT'S INCLUDED
• 1 x Excel (.xlsx) file — works in Excel, Google Sheets and Apple Numbers
• 9 ready-built tabs with 250+ formulas already written and tested
• Attendance point system with automatic 12-month rolling expiration
• Configurable point values and disciplinary thresholds (verbal, written, final, termination review)
• PTO, sick and personal accrual with separate running balances
• Absence cost estimator and month-by-month heatmap
• A full worked example of 12 employees loaded in — type straight over it or clear it to start fresh
• Plain-English 'Start Here' guide
• Free customization — message me and I'll tailor it to your policy

📊 THE 9 TABS
1. Start Here — how it runs, in five steps.
2. Settings — company info, the as-of date, editable point values and disciplinary thresholds. The whole workbook reads from here.
3. Employee Roster — your people, wages, hire dates and annual PTO / sick / personal entitlements.
4. Time-Off Requests — every request with status, and a running balance-after preview for that leave type.
5. Attendance Points — the incident log. Points auto-fill from Settings; old or excused points expire to zero on their own.
6. PTO Balances — accrued, taken and remaining for all three leave types, calculated for every employee.
7. Absence Calendar — an incident heatmap by employee and month so patterns jump out.
8. Dashboard — active points, who's over a threshold, PTO taken, estimated absence cost and absenteeism rate.
9. Employee Summary — pick a name and print a full single-employee record for the HR file or a 1:1.

⭐ WHY IT WORKS
• IT EXPIRES POINTS FOR YOU — the most error-prone part of any attendance policy, automated on a rolling 12-month window you control.
• IT FIRES THE WARNINGS — verbal, written, final and termination-review flags appear automatically as points add up.
• IT DOES THE PTO MATH — accrual prorates from the hire date or Jan 1, requests subtract with a running balance, and sick / personal are tracked separately.
• IT PUTS A NUMBER ON ABSENCE — hours lost times each person's own wage rate, totalled for the company and broken down per employee.
• IT PRINTS CLEAN — a single-employee summary sheet ready for a review meeting.

💻 HOW IT WORKS
1. Download the .xlsx file straight after purchase
2. Open it in Excel, or upload to Google Sheets (File ▸ Import ▸ Replace spreadsheet)
3. Set your point values, thresholds and as-of date on the Settings tab
4. Add your employees, then log time off and incidents — balances, points and cost update themselves

📱 COMPATIBILITY
Works in Microsoft Excel, Google Sheets and Apple Numbers, on desktop, tablet and phone. No app to install, no subscription, no account to create. Nothing is password-locked — it's your file, restructure it however you like.
