00 Start Here Buyer Guide. How the four documents hand off to each other, what each one settles, and what to fill in first.

01 Client Discovery Brief. The questions to answer before a proposal is written: the event, objectives, audience, programme and creative, production requirements, commercials and approvals, the scope requested, constraints and risks, open questions, next steps. Nothing gets priced on a guess.

02 Client Proposal Template. Overview, objectives, scope of services, approach, timeline, investment, assumptions, exclusions, terms, next steps and a signature block. Assumptions and Exclusions say what the price depends on and what is outside scope, which is the part that prevents the argument later.

03 Event Services Agreement. Sixteen clauses: services, client responsibilities, term, fees and payment schedule, expenses and vendor costs, changes, cancellation and postponement, termination, insurance and certificates, liability and indemnification, intellectual property, force majeure, confidentiality, independent contractor, governing law, entire agreement. A disclaimer at the top directs you to an attorney. This is a template, not legal advice.

04 Scope Change Order. Two pages. What changed and why, scope added, removed and revised, the fee impact with a revised contract total, schedule and production impact, assumptions, and an authorization block. Signed, it becomes part of the agreement.

05 Complete Your System. Where these files overlap with the rest of the shop, so you do not buy the same thing twice.

WHAT MAKES IT DIFFERENT

It is a sequence, not a form bundle. Each document is written to hand off to the next: the brief's objectives become the proposal's objectives, the scope requested becomes the scope of services, whatever the client cannot yet answer becomes an assumption or an exclusion, and the agreement's Changes clause points at the change order. Grey italic guidance lines inside every document tell you what to write and why; delete them before the document leaves your desk. Every field you must fill is in [brackets].

The Discovery Brief and the Scope Change Order are the two documents most planner templates leave out, and they are the two that decide whether a job stays profitable.

HOW IT WORKS

Take the discovery call with the brief open. Write the proposal from the brief. Once the client accepts, carry the accepted scope and fees into the agreement and send it for signature. When the client asks for something new after signing, issue a change order, get it signed, then produce. Duplicate the set for each client.

FAQ

Is this for weddings? It works for any event you produce for a client: corporate, brand, nonprofit, private, wedding. The language is event-neutral.

What format? Six Microsoft Word documents (.docx) and a plain-text readme. Built for Microsoft Word.

Is the agreement legal advice? No. It is a starting framework written for event production, with a disclaimer at the top. Have an attorney review it for your state and your business before you use it.

Can I brand it? Yes. Add your logo, colors and standard language. Every field is yours to edit.

Do the documents open filled in? No. They open with bracketed prompts and guidance notes rather than a worked sample. A proposal and a contract are written fresh for each client, and a filled example would only teach you someone else's job.

How is this different from The Everything Bundle? The Bundle is the production library, seventeen numbered documents from budget to wrap report, and it carries the Proposal and the Agreement. This kit is the client-facing paperwork on its own, priced at the two singles combined, with two documents the Bundle does not have.
