Not just what came in and what went out, but revenue, cost of goods sold, gross profit, every operating expense broken out by category, and the net result, with both margins worked out next to it. Most business owners piece this together from memory, a bank statement, or a spreadsheet they half-built themselves. This workbook does it in one place.

WHAT YOU GET (4 connected tabs)

START HERE: A one-page walkthrough of the whole workbook. What to fill in, what to leave alone, how the reporting period works, and exactly how to clear the example data when you are ready.

SETTINGS: Your business name, your currency symbol, and the period you are reporting on, entered once. A current-month period is already filled in and moves forward on its own every time you open the file, or type your own dates to report on a quarter, a year, or any stretch of time you choose.

TRANSACTIONS: Every posting for the period, one row each. Date, description, category, and amount. The category you pick decides whether a row counts as revenue or as a cost. The eleven expense categories sit in a list on this same sheet, and you can rename any of them to match your own business: the new name carries straight through to the dropdown and to the statement, totals and all. You get 60 rows ready for your own entries.

P&L STATEMENT: A complete profit and loss statement with nothing to type. Total revenue, cost of goods sold, gross profit, gross margin percentage, all 11 operating expense categories broken out individually, total operating expenses, net result, and net margin percentage. Everything reads straight from Transactions, filtered to the period on Settings, so it updates the moment you log a posting.

HOW IT WORKS

1. Open Settings and fill in your business name and currency symbol. The reporting period defaults to the current month and shifts forward on its own.
2. Go to Transactions and log every posting for the period: date, description, category, and amount. The category decides whether it counts as revenue or as a cost.
3. Check P&L Statement any time. Revenue, cost of goods sold, gross profit, every expense category, the net result, and both margins. All formulas, nothing to type there.

WHAT YOU NEED

Microsoft Excel or Google Sheets with no macros, no add-ins, and no other software required. Colored cells are the only ones you ever touch; white cells are formulas. Nothing in this workbook is locked or password-protected, so you are always free to inspect or adjust a formula if you want to.

A note on Google Sheets: every formula in this workbook uses only functions Google Sheets also supports. No XLOOKUP, no dynamic arrays, nothing Excel-only. Upload it to Drive and open it with Google Sheets, not in Drive's preview window: the preview doesn't calculate, so a working file looks broken there. I build and test in Excel, so I won't promise you a pixel-perfect Sheets import. The category dropdown on Transactions is worth a quick look after import, since the two programs render dropdowns differently.

WHAT THIS ISN'T

Not accounting software. This spreadsheet calculates a profit and loss statement from the transactions you enter. It doesn't connect to your bank, doesn't file taxes, and doesn't replace a bookkeeper or accountant.

One company per file. P&L Statement reports on the business name entered in Settings. It doesn't track multiple companies in one file. Tracking a second company means saving a fresh copy.

Not automatic. You enter transaction data yourself. Nothing syncs automatically from your bank, invoicing software, or payment processor.
