Specifications

May include: An HOA Board Treasurer spreadsheet template featuring a Monthly Treasurer Report, Money In log, and Bank Reconciliation. The digital document includes 12 categories, 9 tabs, and is compatible with Google Sheets, Excel, and Numbers software.

This tracks the HOA's own money: budget, income, expenses and bank. To track what EACH OWNER owes (balances, late fees, collections), see our HOA Owner Dues Log: https://www.etsy.com/listing/4570333509/hoa-owner-dues-log-delinquency

HOA treasurer spreadsheet for Google Sheets and Excel: 9 tabs, owner dues log with balance and late status per lot, monthly report, bank reconciliation.

Owners pay assessments, vendors send invoices, and once a year the whole neighborhood asks where the money went. Most states also expect an HOA board to show its books. This workbook keeps a self-managed association's records clean without management-company software: you type each deposit and payment, and the reports build themselves.

WHAT YOU GET - one workbook, 9 tabs
- OWNER DUES LOG - one line per lot or unit (200 rows): owner, contact, assessment per period, total paid, last payment. Periods billed, total assessed, balance owed, days late, late fee and a Current / Late / Delinquent status calculate from the rule you set once in Setup. An at-a-glance block counts the accounts current, late and delinquent, and shows total balance owed, late fees accrued, collection rate, and a cross-check against the assessments deposited in MONEY IN.
- START HERE and SETUP - association name, fiscal year, opening balance, plus your assessment amount, billing frequency (monthly, quarterly, semi-annual or annual), grace period and late fee, typed once.
- MONEY IN and MONEY OUT - one line per transaction: date, description, a category picked from a drop-down (200 rows on each ledger), method, amount, running total.
- MONTHLY REPORT - fills itself: beginning balance, money in, money out, balance on hand, plus an income and expense breakdown by category - the page you bring to the board meeting.
- RECONCILIATION - statement balance, deposits in transit, outstanding checks, a DIFFERENCE line that must read zero, with signature lines for the treasurer and for a reviewer who is NOT a signer on the account.
- BUDGET VS ACTUAL - type the adopted budget once; actuals fill in from the ledgers - the variance view owners ask about at the annual meeting.
- YEAR SUMMARY - year totals with reviewer signature lines and a board adoption date.

THE 12 CATEGORIES ALREADY IN THE DROP-DOWN: Assessments, Late fees, Reserve fund transfer, Landscaping, Pool maintenance, Common area repairs, Utilities, Insurance, Legal & accounting, Management fees, Bank fees, Miscellaneous. All editable in Setup.

WHY THIS ONE
- Who owes what, per lot: type what each owner has paid, and balance, days late and status appear on their own - late accounts turn amber, delinquent ones red. Late fees are kept apart from the assessment balance, so both numbers stay readable.
- Different amounts for different lots? Type over the assessment cell of that lot; everything else follows.
- The categories speak HOA - Assessments, Reserve fund transfer, Common area repairs - not school fundraisers. Reserve movements get their own line, visible on every report.
- A worked example is already in there: a month of ledgers ($15,111.20 in, $12,670.50 out, $2,440.70 ending balance, and the Reconciliation tab lands on the same number to the cent) and 48 lots in the dues log, 3 of them late - the log collects exactly the assessments deposited in MONEY IN. Copy the pattern, then delete those rows.
- Set it up once, then you only ever type in three tabs. Everything else calculates itself.
- The non-signer review line on the reconciliation is the control most governing documents - and owners - expect to see.

WHO IT IS FOR
Treasurers and board members of self-managed HOAs, condo associations, and small communities that want clean books without enterprise software pricing.
