Ask four people what their trip is going to cost and you get four guesses. This spreadsheet gives one answer, and keeps it current as you book.

You type the dates, the people and the bookings as you make them. The file keeps the countdown, the day-by-day itinerary, what the trip is going to cost, what is paid, what is still owed and when, what each person owes the others, and how much to set aside from each paycheck so the trip is paid for before you leave.

WHAT MAKES IT DIFFERENT

• A trip total that can only surprise you upward. Each category shows the larger of what you planned and what you have actually booked and spent, so the moment a hotel pushes lodging over its plan, the total says so in red, while there is still time to move money around.
• Still to pay, and when. Every booking carries total, paid, balance and a due date. Overdue turns red, two weeks out turns amber, and the Dashboard lists the next payments due, soonest first.
• Settle Up. What each person paid, on bookings and on expenses, their fair share of everything shared, their own costs, and the net. The column adds to zero, always. The argument, settled.
• Paid for before you leave. The trip, less what is paid, less what is set aside, divided by the paydays before departure. One number to put away each payday, and a schedule that shows the payday it reaches zero.
• Either currency. Expenses take dollars or the local currency and convert at the rate you type.
• Works in Excel 2016 and later AND Google Sheets AND Apple Numbers. Portable formulas only, no add-ons, no account. Most travel planners on this shelf are Google-Sheets-only or need Excel 365.

FOUR HONEST WARNINGS, BECAUSE YOU SHOULD KNOW BEFORE YOU BUY

1. One exchange rate. Every local-currency line uses the single rate you type on Trip Setup. Your card will use its own, and it will differ by a percent or two.
2. Shared costs split evenly. A couple who books one room still counts as two people. Mark anything uneven as Just me and settle it by hand.
3. The savings schedule shows the next twelve paydays. If you leave more than twelve paydays from now, the amount per payday is understated until you are closer.
4. Nothing here is booked, held or refunded. The file remembers; it does not reserve.
