In the invented sample, a Sep 18, 2027 wedding in Asheville, North Carolina, golden hour begins at 7:00 PM and sunset is at 7:34 PM: a 34-minute portrait window, not an hour, and an hour-before-sunset start at 6:34 PM would have been 26 minutes early.

🔧 HOW IT WORKS

1. Open the workbook's Setup tab and type the wedding date, the ceremony time, the venue's latitude and longitude, and the UTC offset in effect on that date.

2. Read the light. The invented sample is Hazel Morrow and Sam Whitaker at Wrenfield Meadow Farm in Asheville, North Carolina, on Saturday, Sep 18, 2027, with the ceremony at 5:00 PM. Sunrise is 7:15 AM, golden hour begins at 7:00 PM, sunset is 7:34 PM, and the portrait window is 34 minutes. Move the date four Saturdays later to Oct 16, 2027 and golden hour begins at 6:19 PM with sunset at 6:54 PM, so the portraits move 41 minutes earlier.

3. Build the day on Timeline Builder, copy the time-ordered list and the FOR THE BINDER sun times into the binder, fill in the vendor call sheet, the setup stations and the payments page, and hand the binder to whoever runs the day.

What format is this? What do I need to open it? Do I need Canva? No Canva and no account. The PDFs open in the free Adobe Acrobat Reader on a computer, tablet or phone, and Preview and browser viewers type into the fields too. The Word files open in Word, Pages or Google Docs, and the workbook in Excel 2016 or later or Google Sheets. There are no macros and nothing to install.

What does the workbook work out? Sunrise, golden hour, sunset, the end of golden hour and civil twilight for your date and place; the portrait window; every event's start and end from its anchor, with the light it falls in; each vendor's arrival from the event they need to be ready for, with balances due and tips; the family photo schedule; and the same weekday four weeks either side of your date, with a chart.

Are the sun times exact for my venue? They follow the NOAA solar equations for an open, level horizon, and NOAA puts that method at about a minute of accuracy. Hills, trees and buildings hide the sun sooner, and the UTC offset you type has to be the one in effect on the wedding date. The coordinator agreement is a template, not legal advice: have an attorney licensed in your state review it before you use it.

The photo boxes and the logo box are image buttons that work in Adobe Acrobat Reader on a computer. Preview, phone viewers and the PDF viewers built into browsers show the dashed box but may not add a picture. On a phone, print the page and tape a photo into the box.

The binder does no math. The times come from the workbook and you type them into the binder once; the sun times then fill the Sun and Light page, the first timeline page and the day at a glance together, and the six pocket contact cards fill together.

On Timeline Builder, After previous chains events in the order you type them, and the list underneath sorts them by time. A vendor's Ready for entry must match an event name exactly, which is why it is a dropdown. The Light column compares times within one day, so an event after midnight shows its time correctly but not its light.

On A4, pages keep a deeper bottom margin because both papers share the same page breaks. The Word files reflow, so their page count depends on the app.

The binders ship blank. The workbook's sample couple, venue, vendors and phone numbers are invented. The four color editions are separate files: pick one and stay in it.
