A UK spreadsheet that tracks attendance, funded hours and parent invoices for a childminding business. You get a PDF with Google Sheets copy links plus Excel files, for Google Sheets (free) or Excel. For childminders in the UK who run their own business.

CHILDMINDER HUB UK: run a childminding business from one file. Each child's usual week fills in by itself, so you type only what differed. Paste a bank statement and it finds which parent has paid. The list below has the rest.

FOUR COLOURWAYS, ALL INCLUDED
- Pastel: a soft pastel rainbow, each tab and category in its own pastel.
- Bright: bold, saturated colour blocks.
- Dark: deep navy with glowing accents, easy on the eyes.
- Earthy: sage, sand and terracotta.
The formulas are identical in every colourway, so pick the look you like.

WHAT IT DOES
- Children: date of birth and age, parent or carer, contracted hours, your rate or their own, funding type and funded hours a week, forms on file (yes or no), and an estimate of what each family pays a month
- Regular bookings: each child's usual days, times, funded hours and meals, and the days you are closed; Usual bookings shows every session of the tax year
- Attendance: only what differed (an absence, a late pick-up, an extra day), with times worked out to the quarter hour, funded hours taken off, breakfast, lunch and tea at your prices, other extras and absent (charged or not)
- Funded hours: each child's entitlement per term against hours used, the council's rate by age group (editable), the value earned, and a log of the council's payments
- Invoices to parents: type what was paid and when; status Sent, Part paid, Paid or Overdue; printable A4 invoice listing each day
- Accidents, Medication and Other records (existing injuries, visitors, fire drills, risk checks, complaints): plain logs with parent signed, written consent and follow-up dates flagged
- Food for minded children, toys, consumables and training already set up as expense categories
- Expenses: pick a category and the sheet knows if it is allowable and which Self Assessment heading it goes under
- Mileage log at HMRC's 45p for the first 10,000 business miles and 25p after, rates editable
- Working from home: HMRC's flat rate (£10, £18 or £26 a month by hours) if you use it, editable
- Dashboard for 2026/27: income received, charged, not paid yet, expenses, mileage, profit, tax set-aside at your own %, what to move to the tax pot, Self Assessment totals by heading, and two charts
- Colour means something and always comes with a word. Text on every coloured fill meets the WCAG AA contrast level.

WORKS WITH THE CALM MONEY APP
The last tab, Export to Calm Money, turns your paid income and your expenses into one CSV that our Calm Money budget app imports in a tap, so business and home money sit side by side. The Calm Money app is sold separately in this shop.

GOOGLE SHEETS AND EXCEL, BOTH INCLUDED
Input cells (they have a coloured border) are yours to type in; everything else is worked out for you, so a stray click cannot break a formula (locked in Excel; Google Sheets asks before you edit a worked-out tab). No macros, nothing to enable. Works on a phone in the Google Sheets app; setting it up is easier on a laptop. A bookkeeping aid, not tax advice: the set-aside is an estimate for budgeting, and HMRC's guidance or an accountant confirms what is allowable for you. The record logs are plain logs: they do not replace your own policies or the requirements of your registration, and safeguarding concerns belong in your secure records. Funding rates and term dates are examples; type your council's.

- A zip with the Excel files (.xlsx) for every colourway, for Excel 2016 or newer.
- A blank version of each, ready for your numbers, and an example version so you can see how it works first.
