Nanny share cost split calculator spreadsheet with a dashboard of family balances and a family statement

A nanny share cost split calculator and timesheet that splits the nanny's pay, overtime, paid holidays and shared expenses between two (or three) families to the penny - and shows exactly who owes whom.

Most nanny share tools are a contract or a simple timesheet. This one does the math every week: log the nanny's hours once and each family's share works itself out - shared care, solo care, overtime, guaranteed hours, reimbursements and settle-up payments between families.

WHAT IT DOES FOR YOU
- Shared vs. solo care: shared hours (all families' kids) are split by your shared % - Equal, By number of kids or Custom %. Solo hours (one family's kids only) are paid by that family at its own rate.
- Overtime done right: counted per workweek on the nanny's total hours for all families (default over 40, editable). The premium uses the week's regular rate and is split by each family's share of that week's hours. Paid holidays and PTO don't count toward overtime.
- Guaranteed hours: if a finished week falls short of the guarantee, the top-up is added and split automatically.
- Pay periods (weekly or biweekly): each family's wages + its share of reimbursements = what it owes the nanny, and the families' shares always add up to the nanny's gross pay to the penny.
- Shared expenses and mileage: supplies, outings, food, classes. Split by shared %, Equal, Custom % or one family. Paid by the nanny = reimbursed with her pay. Mileage uses the IRS business rate for the date (prefilled, editable).
- Settle up: works whether one family runs payroll and the other reimburses, or each family pays its own share. Every family shows Even, Owes $X or Is owed $X, and a balance unpaid too long is flagged.
- Household employer thresholds: each family's wages by payday vs. the Social Security / Medicare threshold ($3,000 for 2026) and the FUTA $1,000-per-quarter test, in an editable yearly table, with estimated employer taxes on the Year-End Summary.
- Nothing hidden: the Dashboard counts custom splits that don't total 100%, timesheet rows with no hours, unknown family names, missing weeks, balances unpaid too long and thresholds to review. ALL SETTLED shows only when every family is Even and nothing is flagged.
