Small Fleet Maintenance Tracker Excel Google Sheets, Vehicle Service Log, Preventive Maintenance Schedule, Cost Per Mile, Work Order Tracker

Know what's due, what each unit costs, and what's expiring, without paying per vehicle per month. A free maintenance log records what happened. This tracker does the part you'd otherwise keep in your head.

WHO IT'S FOR
Contractors, landscapers, service companies, delivery and moving businesses, churches, schools, farms and small municipalities running 3 to 50 vehicles or machines.
NOT FOR: big fleets that need GPS, driver apps or work-order approvals.

WHAT IT DOES
• Works out each unit's next service by miles, km, hours or days, whichever comes first, and resets it when you log the work order
• Flags service that's overdue or due soon
• Shows cost per mile or per hour for each unit, from work orders and fuel
• Warns before registrations, annual inspection dates and warranties expire
• Catches repairs you paid for while the unit was still under warranty
• Flags units worth reviewing for replacement, with the reasons
• Unit Report: a one-page history, cost and PM summary for any vehicle or machine, ready to print
• Dashboard with overdue and due-soon service, open work orders and spend by month

WHAT'S INCLUDED
• 10 sheets: Start Here, Dashboard, Unit Report, Assets, PM Schedule, Work Orders, Fuel, Meter Log, Replace Review, Lists
• A fictional sample fleet with a year of history
• Excel file plus a Google Sheets copy link (in the included PDF)
• Settings page where every threshold is an editable default

WORKS WITH: Excel 2019, 2021 or Microsoft 365, and Google Sheets. Not Excel 2016 or older.

HOW IT WORKS
1. Download the Excel file, or open the Google Sheets link in the PDF.
2. Add your units on Assets and enter your manufacturer's service intervals on PM Schedule.
3. Log work orders, fuel and meter readings. Due dates, costs and alerts update themselves.

FAQ
• Does it include maintenance intervals? No. Use your manufacturer's schedule; the template shows where to enter it.
• Does it handle equipment on hours? Yes. Each unit runs on miles, km or hours, and they never mix.
• Does it make me DOT compliant? No. It reminds you of dates you enter; compliance is your responsibility.
• Does it tell me whether to repair or replace a unit? It flags units worth reviewing, with the reasons. The decision is yours; the sample data is fictional and the sheets make no savings promises.
• Refunds? Instant digital download, so sales are final where local law allows. If the files are corrupted or it doesn't work as described, message within 14 days for a fix or refund.

This is a digital download. Nothing physical ships.
