Running a homeschool co-op as a volunteer director or treasurer means fees, sibling discounts, volunteer hours, class caps and teacher pay all at once. Most co-op spreadsheets only log the data, so you still work out what each family owes by hand. This one does the math. Log sign-ups, payments and volunteer hours, and every family's balance, every class waitlist and every teacher's pay update on their own. WHAT IT DOES FOR YOU
- Family balances, calculated: registration fee + class fees for enrolled classes - sibling discount + supply fees - volunteer credit + volunteer buyout - payments = balance. Status for each family: Paid, Partial, Unpaid, Credit or Overdue (after your due date). Payment plans can have their own due date.
- Sibling discount you set (for example 2nd child 10% off, 3rd and later 20% off class fees), applied by child order within each family.
- Class caps and automatic waitlists: seats fill in sign-up order (date and time). Students past the max size show Waitlist #1, #2 and are not billed. Mark a student as dropped and the next one moves in and is billed automatically.
- Teacher pay owed: choose a pay model per class (flat fee, per student, or % of class fees). See pay for the semester, paid to date and still owed for each teacher.
- Volunteer hours tracker: required hours per family, hours served, remaining, and Met, On track, Behind or Buyout. Extra hours can earn a credit (with a cap you set), and missing hours can add a buyout fee. Both flow into the family's balance.
- Printable one-page Family Statement: pick a family and print or save as PDF to email. Shows each child's classes, fees, discounts, credits, payments and balance due, plus your payment instructions.
- Printable Class Roster: pick a class to see enrolled students, the waitlist, allergies and notes, and parent contacts.
- One-page Co-op Summary: total billed, collected, outstanding, overdue families, expenses, teacher pay owed, net, full and waitlisted classes, and volunteer status.
- Check columns flag problems such as a payment for a family that isn't on the list, a duplicate sign-up, two classes in the same period, or a date outside your co-op dates. A family is never shown as Paid while one of its rows needs a fix.
