1) What this policy covers (and what it doesn’t)
- This Privacy Policy explains how we (the shop owner) collect, use, and share personal information when you buy from us or contact us through Etsy.
- This policy does not cover Etsy’s own practices. Etsy runs the marketplace and has its own privacy policy. Also, any third-party services you interact with through Etsy (for example, payment methods or shipping services) have their own privacy practices.
2) The personal information we receive
- When you place an order or contact us on Etsy, Etsy provides us information we need to fulfill your order. Depending on what you do on Etsy, this can include:
- Basic account and order info: your name, phone, email address, and order details (items purchased, quantity, customizations/personalization you request, and messages you send us).
- Shipping info: your delivery address and (if provided on Etsy) a phone number needed for delivery.
- Payment info: we do not receive your full payment card information. Payments are processed by Etsy and/or Etsy’s payment providers. We may see payment status (for example “paid”).
- Customization info you provide: if you request personalization, you may share additional text (for example, a name to engrave). Please avoid sharing sensitive personal information in custom notes or messages.
3) What we do with your information (and the legal reasons)
- We use your information only as needed to run this Etsy shop and fulfill orders.
- Under the GDPR, processing must have a “legal basis.”
- Here’s what that looks like in plain language:
A) To fulfill your order (contract necessity), we use your information to:
- confirm your order details,
- make, pack, and ship your order,
- provide customer support,
- send service messages via Etsy (for example, questions about shipping or customization),
- handle returns, exchanges, and disputes.
B) To comply with legal obligations, we may use and retain some information to:
- comply with tax, accounting, customs, and import/export requirements,
- respond to lawful requests from authorities,
- maintain records needed to meet legal obligations.
C) To protect our legitimate interests (balanced with your rights), we may use limited information to:
- prevent fraud and improve shop operations (for example, resolving delivery problems, managing inventory, and improving product quality based on non-sensitive feedback),
- defend ourselves in case of a legal claim.
D) With your consent (only if you clearly opt in), we do not use your information for off-Etsy marketing lists unless you explicitly ask/agree. If we ever do (for example, you ask to be added to a newsletter), you can withdraw consent at any time.
4) How we share your information
We do not sell your personal information. We share it only when needed to run the shop and deliver your order:
- Etsy: We use Etsy to operate our shop, communicate with you, and manage orders.
- Delivery and logistics partners (carriers): We share the information necessary to deliver your package (typically your name, address, and sometimes phone number). Carriers use this information to transport and deliver shipments.
- Customs and authorities (for international shipping): When shipping internationally, we may need to include information on customs forms (such as your name, address, and the contents/value of the shipment) as required by law.
- Service providers we use to run the business (only if applicable): For example, if we use a fulfillment partner or printing/production partner for a specific product, we share only what they need to complete that service.
(If you do not use any such providers, you can delete this bullet.)
- Legal and compliance: We may share information if required by law or to respond to legal processes, or to protect rights, property, and safety.
5) Data retention (how long we keep information)
- We don’t keep a customer database outside Etsy for Etsy sales. We normally access your order and message information only inside Etsy for order fulfillment, customer support, and handling returns/disputes. Etsy stores that information on its platform, and we can view it while Etsy makes it available in our seller account. (Etsy and our shop are each responsible for the personal data we process.)
- If we must retain certain records for legal, tax, accounting, or customs reasons, we keep only what’s required and only for as long as required by applicable law.
- If you contact us and we have any personal information outside Etsy (unusual), we delete it when it’s no longer needed, unless we must keep it for a legal reason.
- Community “where players are” statistics: We may keep aggregated, non-identifying statistics (for example, the number of customers by country or city) to understand where our community is located and to share high-level counts publicly. We do not publish names, addresses, or order details. To reduce re-identification risk, we may avoid publishing city-level counts for very small numbers (for example, we may group them into a larger region). If you don’t want your order to be included in these aggregated counts, contact us via Etsy message system.
6) International transfers (EU/UK to US/Japan)
- Because we are based in the United States and Japan, your information will be processed outside the EU/EEA and the UK when you buy from us.
- We use Etsy as the platform for our shop, and international shipping partners to deliver orders. These companies may rely on recognized legal safeguards for international data transfers (for example, adequacy decisions or standard contractual clauses), depending on the situation.
7) Security (how we protect your information)
- We work within Etsy’s systems and access controls, and we limit access to order information to what’s necessary to run the shop. We also follow basic security practices such as strong passwords and limiting who can access the Etsy seller account.
- No method of transmission or storage is 100% secure, but we take reasonable steps to protect your information.
8) Your rights (especially if you’re in the EU/EEA or UK)
If you live in the EU/EEA or UK, you have rights over your personal data. Depending on your situation, these may include:
- the right to access your data,
- the right to correct inaccurate data,
- the right to delete your data,
- the right to restrict or object to certain processing,
- the right to data portability,
- the right to lodge a complaint with your local data protection authority.
How to exercise your rights with us:
Message us via the Etsy message system with your request. We’ll respond as required by law.
Important note about Etsy’s role:
Because Etsy runs the marketplace, some data is controlled and stored by Etsy. In some cases, the fastest way to access, correct, or delete data held by Etsy is through your Etsy account settings and/or Etsy support.
9) Children
- Our shop is not intended for children under 16, and we do not knowingly collect personal information from children.
10) Changes to this policy
- We may update this policy from time to time to reflect changes in our practices or legal requirements. The “Effective date” above shows when the latest version applies.
